 Race for the Cure Team Service Representative/Event Assistant

Reports To: Director of Development

Basic Function: Responsible for the administrative and logistical details of all special events including meetings, whether they are fundraising or awareness events, sponsored by the Orange County Affiliate of Susan G. Komen for the Cure. May through October focus shifts to manage and support the OC Komen Race for the Cure® Teams effort. 

Attendance Requirements: Normal business hours with evening and weekend work necessary.

Limits of Authority: Has the authority to carry out job as described, may not obligate the board or parts thereof to any affiliation or action without specific approval of the board and proper coordination.

Responsibilities: The Events Assistant provides support to all areas of the Affiliate to help meet the mission of the organization and the vision of the local Komen Orange County Affiliate as it relates to all events for fundraising, cultivation, education and mission programming.

The Events Assistant is responsible for the following:

  • Plan, and assist with details of fundraising events, including the Komen Race for the Cure® and an instrumental role in the Pink Tie Ball.
  • As Race for the Cure Team Coordinator, recruit corporate and family teams and encourage team captain’s fundraising efforts through an intensive communication plan via email, telephone or in person. Knowledge of Kintera’s Friends Asking Friends is a plus. The position is required to assist teams in all team building area including Kintera (registration, e-mails, and reports).   In addition, this position is required to handle all administrative responsibilities such as team billing, and checking team registration daily through Kintera. Additionally, coordinate team photos and team tailgate area; keep communication alive and spirited with teams on a regular basis through e-mail and phone calls offering superior customer service and fundraising tips.
  • Works closely with the Programs and Grants Manager to assist in all areas to support breast health conferences, lunch and learn events and other mission related events that take place at the Komen office and in other venues. This includes selecting venues, working with venues on details of each event, coordinating supplies to complete execution.
  • Respond to inquiries, encourages and fulfills 3rd party events. Coordinator oversees the management of all 3rd party events and a few events require staff attendance.
  • Maintaining proper documentation for each event (including meetings held at the Komen office), such as letters of agreement, return of resources after events, receiving payment of promised funds, etc. and properly tracking such items.
  • Updating the Komen Orange County Affiliate master calendar, in collaboration with the communications manager, and communicating upcoming events to staff, Board and committee members in a timely manner.
  • Securing in-kind contributions of materials needed for special events. 
  • Assisting in the promotion of special event activities.
  • Assisting staff and Board members and their committees in the administrative activities of special events including reservations, compiling accurate lists and tracking budgets. 

Qualifications:

  • An interest in and commitment to the Komen mission and the Komen Orange County Affiliate’s vision and ability to represent the Affiliate in a positive and professional manner.
  • Strong interpersonal skills.
  • A high attention to detail and the ability to multitask in a fast-paced environment. 
  • Strong organizational skills needed as multiple tasks will need to be managed simultaneously. 
  • A willingness to work in collaboration with volunteers. 
  •  Excellent writing and communication skills.
  • Demonstrated computer proficiency with MS Office Products – Word, Excel, PowerPoint, etc. Ability to manage mass mailings and mail merges.
  • High level of professionalism: self-starter with ability to work calmly and efficiently under pressure in a multifaceted environment.
  • Conference planning a plus.
  • Superior customer service skills required.
  • Ability to lift and move boxed material – up to 20 pounds.

INTERN POSITIONS

(Intern Application)

Programs Intern
TIME FRAME- Ongoing, flexible hours per week.

PRIMARY DUTIES- Assist with projects related to programs, education, and survivorship. Activities vary based on the time-frame; year-round tasks include assisting with the wig bank, Speakerís Bureau program, health fairs, Mammogram-a-thon screenings (May and October), community and treatment grants, and library and resource center educational outreach. Respond to inquiries from the public about the Organization and breast health.

QUALIFICATIONS- Interest in non-profit or event management, with a focus on healthcare. Strong computer and customer service skills. Strong writing, speaking, organizational and computer skills. Detail-oriented, self-motivated and the ability to work independently and with a team. Ability to work on several projects at once. Knowledge of breast health issues a plus. Bilingual in Spanish helpful. Must have transportation.

Development Intern
TIME FRAME- Ongoing, flexible hours per week

PRIMARY DUTIES- Assist with various fundraising and special events such as BMW Ultimate Drive, Fit for the Cure®, and the Komen Race for the Cure®, Orange County's largest fundraising event. Assist with database management, answering phones, mailings, maintaining inventory of merchandise, media and public relations, and responding to inquiries from the public about the Organization, special events, and the Race for the Cure®.

QUALIFICATIONS- Interested in non-profit or event management, public relations or marketing. Strong organizational and computer skills. Good communication and customer service skills. Attention to detail and the ability to work on several projects at once. Familiar with the Orange County area. Must have transportation.

All internships offer flexible scheduling from Monday-Friday, 8:30 a.m.-5 p.m. Some positions require attendance at committee meetings and special events, and occasional evening and weekend hours. All internships are unpaid. All candidates should be enrolled at a college or university, exhibit strong organizational skills, good customer service skills, and show enthusiasm.
